Al Farhan Apparels — Global Team Apparel Agreement
1.Parties
This agreement is entered between Al Farhan Apparels (AFA) and the undersigned STEM Racing Team (“the Team”), regardless of geographic location.
By signing this agreement, the Team confirms understanding of all deadlines, deliverables, expectations, and limitations outlined below.
2.Scope of Agreement
AFA will design, manufacture, and deliver custom team apparel (including, but not limited to, team shirts and racing suits) for the STEM Racing season in alignment with official competition timelines.
This agreement applies to any official competition cycle (Regionals, Nationals, or World Finals), subject to the timeline rules stated below.
3.Pricing
All prices are set on the website and are final.
Pricing is valid only for teams that fully comply with submission deadlines and branding requirements outlined in this agreement.
3a.AFA Partnership Pricing vs. Regular Pricing
At the start of customization, the Team is asked to choose between two pricing options for the order:
- Regular Price — the standard one-time purchase price. No additional expectations beyond the rest of this agreement. The Team simply pays the listed price and proceeds.
- AFA Partnership Price — a discounted rate offered in exchange for a public partnership announcement.
By selecting AFA Partnership pricing, the Team agrees to the following:
- The Team will publish a social media post publicly announcing the partnership with Al Farhan Apparels.
- The post must tag @tryafa.official and add @tryafa.official as a collaborator on the post (so AFA can track and re-share).
- The post is preferred and requested to be published within the first few days of placing the order.
- Failure to publish the partnership post may result in the order being re-priced at the regular (non-partnership) rate, with the difference owed before delivery.
Selecting the AFA Partnership tier at the start of customization constitutes acceptance of these partnership terms. Teams who do not wish to participate in the partnership should select the Regular Price option instead — there are no additional obligations attached to the regular price.
4.Branding & Logo Placement Requirements
In exchange for the listed pricing, the Team agrees to provide:
- AFA logo placement on the left shoulder of all applicable team apparel
- Logo size and exact positioning are standardized and prepared by AFA during the mockup phase
- AFA logo placement on the pit display
- AFA logo inclusion in portfolio / enterprise materials where sponsors are listed
Logo placement will follow AFA brand guidelines, available upon request.
Failure to meet branding requirements may result in:
- Removal of the listed pricing
- Withholding of future production support
5.Submission Window
For all competitions, teams must allow a sufficient window between order submission and the required delivery date.
Our current recommended minimum is a 3 to 4 week window from order placement to delivery.
This window gives us enough time to prepare mockups, accommodate reasonable revisions, manufacture the order, and ship it so it arrives on time.
Please also be aware that global issues and macroeconomic factors (shipping disruptions, customs delays, supply chain or material shortages, force majeure events, etc.) can cause severe delays that are outside of our control. We do everything we can to mitigate these, but they cannot always be prevented.
6.Submission & Deadline Policy
No order may be severely changed in terms of design after it has been submitted.
We accept revisions, but they must be limited to slight detail adjustments — typically things that may have been faults on our side during the mockup phase. No changes should be made beyond that.
This specifically includes (but is not limited to):
- No new logos may be added that were not part of the original mockup from the start
- No new sponsors, names, or branding elements introduced after submission
- No structural or layout changes to the approved design
- No color scheme changes after mockup approval
These rules help us stay on track and prevent unnecessary delays for your team and for everyone else in the production queue.
7.Design Finalization & Payment Process
Once the Team submits all required information:
- AFA converts submissions into production-ready mock-ups (typically within Week 1)
- The Team is expected to respond promptly to review requests
- Feedback is limited strictly to accuracy checks
New sponsors, names, design elements, or structural changes are not permitted during this stage.
Silence or delayed feedback may result in automatic mock-up approval.
Payment is due AFTER mockup confirmation (Week 1).
Once payment is received, manufacturing and shipping commence. The complete process (custom manufacturing + delivery) takes approximately 3 weeks from payment confirmation.
8.Manufacturing Phase
Manufacturing begins immediately after mock-up approval.
Each team order typically consists of 6–12 items. Manufacturing timelines are planned based on AFA's total production volume across all teams, not per-team order size.
- AFA can reliably handle up to 100 total items across all teams within the standard manufacturing window
- If total volume exceeds this threshold, production may extend by a small number of business days
- Any such adjustment will be communicated clearly and in advance
This clause is provided for transparency; delays are not expected under normal order volumes.
9.Shipping & Logistics
Shipping timelines are estimated based on destination, carrier availability, and customs requirements.
AFA commits to transparent communication regarding:
- Shipping status
- Tracking information
- Any unforeseen logistical delays
10.Dependency on Official STEM Racing Dates
All timelines are aligned with official dates published by STEM Racing.
If competition dates change, AFA reserves the right to:
- Adjust production and shipping timelines accordingly
- Notify the Team immediately of any required changes
11.Limitations & Liability
AFA is not responsible for delays caused by:
- Late or incomplete submissions
- Incorrect information provided by the Team
- External shipping or customs issues
- Force majeure events
Once manufacturing begins, no refunds, redesigns, or cancellations are possible.
12.Agreement & Acknowledgment
By checking the box at checkout, the Team confirms full understanding and acceptance of this agreement and acknowledges that this action serves as their official electronic signature.
